Administrative Assistant

Highlights of the job We are hiring one full time, temporary Administrative Assistant position (for up to 18 months) working out of Edmonton, AB. As the Administrative Assistant, you support EPCOR Electricity Operations’ Customer Connections team in the timely and accurate execution of projects. You will assist with onboarding and management of contractors, generate purchase orders and invoices, prepare work order packages and provide administrative services. In this position, you will have a customer-focused approach to your work. You will influence and manage customer’s needs, maintain positive, professional working relationships, meet deadlines while under pressure and work collaboratively with team members.
What you’d be responsible for

  • Generating purchase order requests for contract work.
  • Preparing invoices for manager approval.
  • Supporting Engineers and Project Managers with ongoing projects, which may include invoice processing, proofreading/editing documents and day-to-day assistance
  • Submitting and tracking status of Alberta 1-Call Management for “small jobs” (submitting, tracking and printing).
  • Preparing Work Order packages including printing, assembling & tracking as-built drawings.
  • Receiving and processing payments from customers for capital project work (deposits, payments, etc.).
  • Acting as a single-point of contact for EPCOR Finance to receive additional requested information regarding eligibility for prepayment on capital project work orders.
  • Providing coverage for Facilities Administration in granting building access, coordination with Security and other related duties.
  • Performing administrative duties such as preparing documents in a detailed and accurate manner, recording processes, maintaining procedures, booking meetings and distributing meeting minutes and agendas.
  • Owning, administering, providing technical support and training on the Customer Connections SharePoint site and maintaining records.
  • Managing the office supply inventory in a cost effective “just in time” manner.
  • Working collaboratively with other EPCOR Administrative Assistants to support and provide coverage and complete other assigned duties, as requested.

What’s required to be successful
  • High school diploma, GED or equivalent level of secondary education.
  • Administrative Professional Certificate or Business Administration Diploma would be an asset.
  • 3+ years of experience in a multifaceted administrative role, ideally in a construction, transportation or utility environment (with field operations).
  • Completion of business courses related to Microsoft Office and data capture processing required.
  • Strong computer expertise with Microsoft Office applications: Word, Excel, PowerPoint and SharePoint.
  • Proficient utilizing internet searches.
  • Excellent verbal communication skills and effective writtencommunication skills including grammar, drafting, editing and proofreading.
  • Strong time management, high attention to detail and ability to manage multiple priorities.
  • Ability to work under pressure, meet deadlines and adapt to change in a fast-paced environment.
  • Ability to cultivate relationships within EPCOR and external stakeholders.
  • Proficiency using office equipment including photocopiers, printers, scanners, laminating machines, shredders and label makers.
  • Experience taking and preparing clear, succinct meeting minutes.
  • Working knowledge in the following will be considered an asset: Alberta 1-Call System, IVARA, Electric Office or project management software systems.
  • Demonstrating a high performance, high discipline, safe, accountable, focused, innovative and achievement-oriented, easy to do business with manner of working.

Other important facts about this job Jurisdiction: CSU52 Class: A2 Hours of work: 80 hours biweekly Wage: Starting at $30.89 per hour. Final Wage and Step will be determined at the time of selection and based on a combination of factors as outlined in the Collective Agreement found online.
