Accommodation and Travel Administrator (Temporary)

Position Summary: Tacten is seeking an Accommodation and Travel Administrator to be based at various sites in Northern Alberta. This is a temporary site-based position to support an industrial turnaround starting in 2024. Camp Accommodations and charter flights from Calgary or Edmonton and camp will be provided. Responsibilities:

  • The Accommodation and Travel Administrator will work closely with the onboarding team to coordinate flights & camp accommodations. Duties include but are not limited to:
    • Book camp or hotel accommodations and flights as required.
    • Ensure all travel arrangements are following company's travel policy.
    • Ensure booking confirmations, itineraries (arrival & departures), maps, directions and instructions are delivered to the traveler in a timely manner.
    • Maintain logs and employee profiles.
    • Ensure travelers are provided with updated information as needed.
    • Assist project team in any other administrative duties as required.
Requirements: Skills Required
  • Proficiency in Microsoft Office (Excel, and Outlook) in addition to scanning and working with pdf, and image documents. General computer and network literacy.
  • Previous experience with client booking systems is an asset.
  • Above average attention to detail and accuracy
  • Ability to work in a high pressure, team environment
  • Problem identification / resolution skills
  • Ability to follow policies and procedures
Work History & Education
  • College Diploma or Certificate preferable in Business/Office Administration or equivalent
  • Construction Safety Training (CSTS-09 or CSO)
  • 2 or more years in a similar role with industrial site experience
  • Experience working with unions
  • Pre-access D&A will be required
Working Conditions: Working Conditions
  • This is a temporary role expected to last around 3 months in duration, with potential for expansion into other opportunities within Tacten.
  • This role requires you to reside in camp for the duration of your shift, working on an industrial site.
  • After training this role will work on a 6/1 or 12/2 rotation, Fly in-Fly Out to camp, candidates must fly out of a major Alberta Hub (Calgary or Edmonton)
