Program Overview

Since 2009, TechnoServe has worked with farmers, cooperatives, suppliers, and agro-processors across Côte d’Ivoire to strategically develop competitive industries around key crops, including cash crops such as cocoa and cashew.

Over the years, our work has evolved from building the capacity of farmer organizations to develop agribusiness opportunities to designing out-grower schemes, linking processors to local producers, and working with micro-entrepreneurs and small, growing businesses to improve their technical and business acumen and accelerate the growth of businesses that hold untapped potential to create more sustainable jobs, especially for young women and men.

Position Description

The Administrative Assistant will support the country office with logistics, administrative backstopping, and day-to-day support.

  • Duties & Responsibilities
  • Manage country office procurement as per TechnoServe’s procurement policy and national standards, liaising with the Administrative
  • Draft correspondence including reports, contracts, and other administrative documents.
  • Assume responsibility for document filing and develops office administrative procedures as required.
  • Perform small-scale procurement, ensuring adequate stocks of all necessary supplies (e.g. stationery, water, etc.)
  • Day-to-day facilities management of the office, developing and maintaining good relationships with suppliers
  • Supervise support staff such as drivers, security guards, and cleaners
  • Prepare accounts payable documents (e.g. invoices, payment requests) for approval
  • Prepare or review bidding documents and requests for proposals.
  • Ensure / supervise the preparation and dissemination of tenders and manage / coordinate all aspects of the tender / proposal evaluation process in consultation with the Human Resource Specialist and Country Director depending on the source of funding
  • Support the preparation and submission of key procurement documents, including purchase requisitions, advance requests, expense reconciliations, and other documents, as necessary
  • Facilitate payments to suppliers, based on approval and authorization designated budget holder
  • Assist in scheduling and planning for events and conference calls.
  • Perform administrative tasks to ensure TechnoServe adheres to local legal and statutory requirements, as required
  • Respond to general inquiries to the country office
  • Any other task that may be requested / assigned.

Basic Qualifications :

Bachelor's Degree OR 2 years relevant experience.
